This statement outlines the activities undertaken by Space Syntax Limited in response to the current Coronavirus situation and communicates the processes that have been put in place to mitigate business risk and to ensure that the Company continues to remain operational during this period of unprecedented change.
These processes and activities are reviewed and updated in response to this changing situation. A meeting of key operational personnel takes place weekly so that issues can be effectively identified and acted upon. Business risk is monitored during these meetings and escalated as required to other management groups and to the Board.
Business risk assessment & change planning
Space Syntax is an ISO 9001:2015 certified organisation and therefore incorporates risk management into its key operational and management procedures. We have taken the appropriate measures to review the risk of the Coronavirus situation to the business as well as to our stakeholders, both internally and externally.
Project delivery
Our key priority is to mitigate risk to our project delivery and to ensure that we are able to work with our clients and partners to the level of efficacy and quality required and expected, whilst maintaining the health and safety of both staff and external parties.
IT infrastructure (Remote Working)
Space Syntax moved to full remote working on 17th March 2020, mobilising our existing remote working infrastructure so that all staff members can access the project/business resources and software that would ordinarily be available ‘in-house’. We continue to work with our IT consultants to ensure IT issues are dealt with quickly and in line with our digital security processes.
Resourcing
Our employees are crucial to the success of our business. We have conducted a full review of the skills and associated experience required for the delivery of our consultancy work. In doing so, our aims are to support our clients’ needs and to enable appropriate cover should any member of staff need to take time off work due to illness or any other reason.
Health & safety
We take the health, safety and wellbeing of our staff seriously and have put measures in place to ensure that all staff have the infrastructure required to work effectively. We continue to work with our Health and Safety and HR advisers to make sure that we can support our employees throughout this period.
Communication
In order to remain well-connected while we work from remote locations we are using Microsoft Teams as the main platform for communication between employees, clients and partners. In doing so, we are maintaining our regular schedule of internal meetings, including our Project Reviews.
We have retained our main Studio number via mobile transfer so we can continue to receive external calls. Key senior staff members have company mobile phones so that they can be directly reached and we continue to communicate via e-mail. We are working with our clients and suppliers to reduce the number of paper documents sent and received but continue to monitor post arriving at our Studio address.
Project Directors have contacted their key contacts to update them on the operational changes in place and are working with them to support their project needs during this period. Business travel has now stopped but we are utilising Microsoft Teams and other web conferencing applications to stay connected.
